SDC takes data protection very seriously and wants to make sure your data is as safe as possible.

Our Fair Processing Notice explains how we use your personal data, describes the categories of personal data we process and for what purposes. We are committed to collecting and using such data fairly and in accordance with the requirements of the GDPR.

Your rights

You have the right to object to how we process your personal information. You also have the right to access, correct, sometimes delete and restrict the personal information we use. In addition, you have the right to complain to us and to the data protection regulator.

How we gather personal information

In addition to the information you provide to us directly, for example when you join as a subscriber, we collect personal information in a number of ways for example SDC products and services you have accessed.

For the safety and security of visitors to Perkin House, we also collect personal information by recording images on CCTV from outside Perkin House, including the car park, and some internal stairwells and entrance areas.

What kinds of personal information we use

For some products and services we need to use personal information, or we will not be able to provide any of these products and services to you.

Access to your personal information

You can request access to a copy of your personal information. Please make all requests for access in writing, and provide us with evidence of your identity. We will not make any charge for responding to any request from you, and we will respond to your request in accordance with our obligations under data protection law.

Right to withdraw consent

If you have given us your consent to use your personal information you can withdraw this at any time.

Rectification

You can ask us to change or complete any inaccurate or incomplete personal information held about you.

Erasure

You can ask us to delete your personal information where it is no longer necessary for us to use it, you have withdrawn consent, or where we have no lawful basis for keeping it.

Restriction

You can ask us to restrict the personal information we use about you where you have asked for it to be erased or where you have objected to our use of it.

Make a complaint

You can make a complaint about how we have used your personal information.

How we use your personal information

We use your personal information to provide you with products and services such as subscription. We also use it to improve and market our products and services.

CCTV images from Perkin House may be shared with the police or other legal authorities to assist in the prevention and detection of crime.

Our products and services

We need some personal information before we can provide you with our products and services. In some cases, we won’t be able to provide products and services to you if we don’t have all the personal information we need.

Sharing and transferring personal information

Personal information is only shared with external individuals and companies under strict conditions.

SDC works with external IT providers, who support SDC’s IT systems. This includes the external, secure back up of data and website support. It also includes mailing fulfilment houses and other external organisations, such as those providing electoral services. All external providers are expected to treat SDC data with the same level of security as SDC would.

Relevant personal information is shared with volunteers and other individuals who are acting on behalf of SDC. For example, this may include SDC committee members, who may then contact individuals about their subscription. All these volunteers and individuals are expected to treat SDC data with the same level of security as SDC staff would. In addition, they are expected to abide by SDC’s remote working policy. They are also expected to undergo the GDPR training that is offered free of charge by SDC. Sometimes we transfer personal information to other countries outside the UK for these purposes, where suitable protection is in place.

Personal information is never shared with other third-party organisations, such as those wishing to promote their own events, products or services.

CCTV images or other personal information may be shared with the police or other authorities, as legally required, to assist in the prevention and detection of crime.

Keeping personal information

How long we keep your personal information depends on the products and services we deliver to you, but we will never retain your personal information for any longer than is necessary.

Keeping you up to date

We may communicate with you about SDC products and services using any contact details you have given us – for example by post, email, text message, telephone, social media, and notifications on our website. If you are a subscriber this will include keeping you up to date with subscriber-related matters. Where you have given us consent to receive marketing, you can withdraw consent, and update your preferences by contacting us directly.

Your consent

Sometimes we need your consent to use your personal information. We won’t always need consent to use personal information – for example if we need it to meet regulatory requirements or to perform a contract with you. Where you have given us consent, you have the right to withdraw it at any time.
